How to Reserve Space in Zoellner Arts Center

We welcome inquiries to rent our venue for academic department and student activities, as well as external clients to the University. All requests must be submitted by email to inrental@lehigh.edu.

Policies and Procedures:

  • Academic, University Departments & Students click here to reserve via 25Live
  • A request must be submitted by email to the scheduling and events manager           
  • The organization must comply with all Zoellner and Lehigh regulations, policies and procedures while occupying the facilities.
  • The requestor of space must be the primary officer, treasurer or faculty/staff member of the requesting organization.
  • All requests must contain the requester's name, department, e-mail address, daytime phone number and organization index number.  The scheduling office will review the requested date(s) and confirm via email. More information may be requested by the scheduling and events manager in order to best serve the client and Zoellner Arts Center.

Student Clubs & Student Organizations

  • A request must be submitted by email to the scheduling and events manager
  • The requesting group/club/organization must be registered and in good standing with the applicable Lehigh University Student Senate and the Office of Student Activities.
  • The requestor of space must be the primary officer, treasurer, student or faculty/staff member of the requesting organization.
  • Groups may use the facilities for a single two-hour time period Monday through Friday or a single three-hour time period Saturday or Sunday. Each group is eligible for one such time period during any week.
  • All requests must contain the requester's name, department, e-mail address, daytime phone number and organization account number.
  • Reservations will be accepted beginning the first week of class for each semester, but will not be confirmed until after the first 10 days classes.  Groups may request reservations for the third week through the final week of class for that semester.
  • After the first week of class, all reservations will require one to five business days to process.  Last minute requests or reservations within one to five days may or may not be honored.
  • All groups are subject to event adjustment or displacement should a Zoellner Arts Center administrative or programming need arise. In such cases, the Scheduling Office will do its best to provide an alternate location, but cannot guarantee a substitution.
     

External Organizations & Clients         

  • A request must be submitted by email to the scheduling and events manager
  • The organization must comply with all Zoellner Arts Center  and Lehigh University regulations, policies and procedures while occupying the facilities.
  • All requests must contain the requester's name, company name, e-mail address, daytime phone number and organization account number.  The scheduling office will review the requested date(s) and confirm via email. More information may be requested by the scheduling and events manager in order to best serve the client and Zoellner Arts Center.
  • Organizations and companies are required to submit a certificate of Liability Insurance and a Zoellner Arts Center Agreement upon confirmation of a date to host an event.  All paperwork must be submitted two weeks prior to the event date.
  • Catering information- All food and beverage for events at Zoellner Arts Center  are exclusively served by Lehigh Catering.  Please contact the catering department at 610-758-4512 to receive more information or click here
  • Alcohol Information:  Two forms must be submitted for approval to serve alcoholic beverages
